Reservation Requirements: Guests making reservation must be at least 21 years of age, must be able to show proof of age at any time during stay, and agree to the Terms and Conditions of Red River Real Estate's Vacation Rental Agreement.

  • A 50% deposit of the total reservation is required to secure my vacation rental. The balance is due in full 30 days prior to arrival date. If there is not 30 days between booking and arrival dates, the balance is due at the time of booking.
  • Security Deposit: We require a credit card to be kept on file during your stay. An administrative hold will be placed on the card, but nothing will be charged to the card unless damages occur to the property or any of its contents. In the event that damages do occur, you will be responsible to pay for damages with the credit card provided. If the property is left the way you found it, no charges will incur. You will be notified in the event of charges. We reserve the right to further charge the credit card on file for additional cleaning or repairs in excess of the security deposit amount.

Confirmation: You will receive your reservation confirmation via email. Should you prefer another method; via fax or mail, be sure to notify reservationist. Email is the preferred method due to cancellation time frames and payment deadlines. Be sure once you receive your confirmation that you verify the accuracy of the information it details. We will not be able to relocate you to another property as we have held a specific cabin for your reservation. Any errors must be directed to Red River Real Estate within 3 days of booking.

Arrival Procedure: Check-in is between 3:00-5:30pm on the first day of occupancy. You'll need to check-in at our office at 420 E Main St where you will settle up and receive keys as well as instructions.  

  • A valid credit card must be provided at the time of check-in to hold for any damages beyond wear and tear or for missing property that may occur during your stay. Each property is pre-inspected prior to arrival and once again after departure.
  • Late Arrivals: If you will be arriving after 5:30pm, call us at 1-800-453-3498 to notify us of your late arrival and for our after-hours procedure.
  • We understand if you need to arrive early in the day due to flight schedules or driving conditions. We do, however, politely ask you to call us at 1-800-453-3498 and let us know if this is the case prior to your scheduled arrival. If we are able to, we will adjust the housekeepers cleaning schedule to accommodate but will need to be made aware ASAP. A $50.00 Early Check-in Fee will be assessed for arrivals prior to 3pm.

Departure Procedure: Check-out time is on or before 10:00am on final day of occupancy. Please lock up the house and return the keys to our office at the front desk or if you leave before 8am, keys can be placed in the drop box on the front of our office.

  • We require 24 hours notice for all late departure requests. A late departure is required to be out no later than Noon and is dependent upon upcoming arrivals. A $50.00 Late Departure Fee will be assessed.

Our Cancellation Policy: Each of our cabins is privately owned by an individual, so cancellations can affect them greatly. Upon Cancellation, You Forfeit All Rights To The Reservation and Nights Reserved.

Reservations cannot be moved from one property to another nor change dates once reserved; if that is preferred, the reservation will be treated as a cancellation and the Cancellation Policy will apply.

  • For cancellations 30 days or more; the only monies paid will be refunded IF we are able to re-rent ALL nights booked, less a $50.00 Cancellation Fee. Otherwise, all nights are forfeited and all monies is retained.
  • For cancellations 30 days or less; all nights are forfeited and all monies will be retained. 
  • No Refunds for Holidays. (Holidays include the following seasons: Spring Break, Memorial Weekend, 4th of July Weekend and Christmas.)
  • No Refund for early check-outs.
  • Any changes to Reservations have to be made in written form and are considered but not guaranteed.

Travel Insurance: The unforeseen and unexpected can occur before you leave or when you are away from home. CSA's Vacation Rental Insurance is not required but strongly recommended, visit www.vacationrentalinsurance.com for more information. Your travel insurance payment will be processed when you reserve your vacation home.

Security Deposit Insurance: The unforeseen and unexpected even happens while your on vacation. CSA's Security Deposit Insurance is not required but strongly recommended, visit www.vacationrentalinsurance.com for more information. Your travel insurance payment will be processed when you reserve your vacation home.

Pet Policy: We have select units only that allow pets. All other units Do Not Allow Pets!!!! If a pet is brought to the premises of a unit that does not allow pets, there will be a $300.00 fine plus cleaning and/or repair charges as well as immediate eviction with no refund. 

  • For units that do allow pets, the following applies: Pets must be well behaved, housebroken and pest free. Pets may not use any linens that are provided for our guests. Pets are not allowed on furniture or bedding. Guests agree to pay for any damages caused by their pets. Guests agree to pay any additional housekeeping charges should pet hair cause any delays in the cleaning process.

Smoking Policy: No Smoking is allowed in any of our properties at any time! Smoking is permitted outside and away from the home. Please dispose of cigarette butts in the proper location. Should there be any smoking detected in the cabin, there will be a $300.00 fine.

Occupancy: The number a unit sleeps is based on fire code. Occupancy may not exceed what is posted for each home. Maximum occupancy includes infants and children. We do not permit the use of air mattresses, cots or other temporary sleeping arrangements in the units.

  • Only book for the guests you know are coming... there is no refund for additional guests who do not show up for the reservation.

Keys: All keys obtained from Red River Real Estate must be returned or a $20.00 replacement fee will be charged per key unreturned.

Rates: Base rates are for the first 4 adults (13 years and older). Children 12 years and under stay free in select units. Units can only be booked up to the maximum occupancy; this includes infants and children. Rates are subject to change without notice. Rates change with the seasons.

Specials: Specials and discounts are offered on our website. Specials are subject to change without notice. You must mention the special at the time of booking for it to be valid. We will not be able to add discounts or special offers after the transaction has taken place.

Conduct: All Guests are responsible for the home that they are occupying. Red River Real Estate is acting as the agent on behalf of each individual homeowner and we ask that you treat each cabin, its furnishings and its exterior surroundings with the utmost respect.

  • House parties are not allowed and will not be tolerated.
  • No firearms or fireworks will be discharged on any property.
  • Respect for surrounding neighbors' privacy by not trespassing on their property unless specifically invited as well as keeping music, voices and any said noises to a reasonable level as not to disturb anyone.

Proper Transportation: Some of our properties do require snow chains or 4wheel drive because of location and precipitation. Please prepare accordingly or you may find you and your guests without access to transportation. Red River Real Estate makes every effort to ensure accessibility to each home; however, any attempt does not forfeit the need for snow chains or 4wheel drive.

RV's: There is not parking available at the units without inconveniencing surrounding neighbors. Red River has RV parking at specific locations; please prepare accordingly. If an RV is located on the premises, you will be asked to have it removed immediately. If an RV is located on the premises and found to be hooked to the units utilities; you will be immediately escorted off the property with no refund.

Right of entry: It is not our desire to disturb guests during their stay; however understand situations occur that may require entry to the property. Therefore; guests acknowledge, understand and agree that Red River Real Estate reserves the right to enter the property at anytime to investigate disturbances, check occupancy, check damages, make repairs, alterations and improvements, as we deem necessary.

Should any part of this Vacation Rental Agreement be breached; guests will be evicted from the property and forfeit all monies paid!!!
